Terms and Conditions
These terms set out the basis on which Localyn is provided to food businesses, managers, staff, and platform users.
Use Of The Service
Users must provide accurate information, keep account credentials secure, and use the service only for lawful business, food safety, compliance, operational, and administrative purposes. Registrants warrant that they are authorised to create an account for the business named in the registration and that the company, store, and contact details provided are accurate and relate to a genuine trading business (or a genuine hiring need for Jobs).
Accounts And Access
Business accounts are created through registration. Account owners are responsible for the users they invite, the roles and permissions they assign, and all activity carried out under their accounts. Tell us promptly if you believe an account has been compromised. Free accounts and directory or Jobs listings are for real local businesses. Fake, spam, test-abuse, or misrepresented businesses may be refused, unpublished, or removed.
Free Core, Complimentary Month, Fees And Payment
Eligible businesses receive a free forever core while the account remains in good standing: business profile, directory presence, and basic Jobs posting. New businesses also receive one complimentary month of other Localyn business modules with no payment details and no Direct Debit at signup. After that month, unpaid paid modules lock; the free core continues unless withdrawn under these terms.
Localyn may change, suspend, or cancel free-tier access without prior notice — including withdrawing complimentary free forever offerings — for example for abuse, inactivity, policy breach, capacity limits, or product changes. Paid modules that you have activated remain governed by their billing terms.
Paid modules (such as food safety, loyalty, bookings, document vault, AI, and similar add-ons) are activated when you choose them after login. Direct Debit setup through our payment provider, GoCardless, is only required when you activate paid modules — not as part of free public registration. Fees for paid plans are stated when you activate billing and may change with reasonable advance notice before your next billing period.
Cancellation
You can cancel a paid trial or subscription at any time by contacting the Localyn team. During a complimentary first month with no mandate, no payment is collected when the month ends. After you set up Direct Debit for a paid plan, you can cancel before your next billing period; amounts already paid are non-refundable except where required by law. We may help you export your records before your account is closed.
Food Safety Records
Food safety compliance on Localyn helps organise records and evidence, but customers remain responsible for their own food safety decisions, staff supervision, regulatory compliance, and inspection readiness.
Messaging And Notifications
Where messaging channels such as WhatsApp or email are used, users must only submit appropriate business information and must not send unlawful, abusive, or unrelated content.
Loyalty And Bookings
Loyalty programmes, rewards, offers, and bookings are offered by the individual business, not by Localyn. The business is responsible for honouring rewards and bookings and for the accuracy of its own offers. Digital wallet passes are delivered through Apple Wallet or Google Wallet and are subject to their terms.
Data Protection
Each party must comply with applicable UK data protection law. For staff, customer, and operational records entered into the platform, the business customer is the data controller and we act as a data processor, processing that data only to provide the service. See our Privacy Policy for details, including how long we keep data, how deletion requests are handled, and the limited period during which encrypted backups may still contain deleted information.
Availability
We aim to keep the service reliable, but availability may be affected by maintenance, hosting providers, messaging providers, payment providers, network issues, or events outside our control.
Intellectual Property
We and our licensors own the platform, including its software, design, and branding. You retain ownership of the records and content you enter, and you grant us the rights needed to host, process, back up, and display that content in order to provide the service.
Liability
Nothing in these terms excludes liability that cannot be excluded by law. Subject to that, the service is provided "as is"; we are not liable for indirect or consequential losses, loss of profits, or regulatory penalties incurred by your business, and our total liability in any 12-month period is limited to the fees you paid for the service in that period.
Suspension And Termination
We may suspend or terminate access for non-payment, unlawful use, security risk, or material breach of these terms. You may stop using the service and cancel at any time. On termination we will, on request and within a reasonable period, provide an export of your records before deletion, subject to lawful retention requirements.
Changes To These Terms
We may update these terms from time to time. We will post the updated version on this page and revise the "last updated" date below, and we will give reasonable notice of significant changes. Continued use of the service after changes take effect means you accept the updated terms.
Governing Law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have jurisdiction over any dispute, subject to any mandatory consumer protections that apply where you live.
